Privacy Policy
How Better Possibilities, LLC handles the information you share through this website, written in plain language and limited to what we can actually verify about the tools in use.
Draft under review. Effective date to be set on publication.
Who this policy covers
This policy describes how Better Possibilities, LLC (“Better Possibilities”, “we”) handles personal information in connection with this website: inquiries submitted through our forms, discovery-call bookings, purchases of coaching packages or the monthly coaching subscription, and the communications that follow.
It does not govern the coaching engagement itself. Confidentiality inside sessions, session recordings, written follow-up notes, and what an employer who sponsors coaching is or is not told are addressed in the coaching agreement and confirmed with you before the work begins. Cancellation, rescheduling and refund terms are also separate from this policy.
Privacy contact: Michele Smith, michele@betterpossibilities.com.
Information you provide
- Inquiry and intake forms (contact, speaking, intake, coaching credits, team coaching): the fields you complete, which may include your name, email address, organization, role, phone number if you choose to give it, event or engagement details, budget range, and whatever you write in the message fields.
- Discovery-call bookings: the details you enter in the Calendly scheduler, such as your name, email address and any answers to its questions.
- Purchases: the email address you give at checkout, the package or subscription purchased, the amount, the payment status, and the Stripe transaction reference. If you buy for someone else, that also includes the participant or recipient name and email address, your company name where given, and any gift message you write.
- Email you send us directly, including anything you attach or quote.
Please do not send medical records, confidential employee files, passwords or full card details through the general forms or email. If something sensitive needs to be shared for the work, ask us first and we will agree a suitable method.
Information processed automatically
Like most websites, this site is delivered through hosting and network infrastructure that processes technical information to serve pages and protect the service. That typically includes IP address, date and time of the request, the page or file requested, referring page, and browser and device details, recorded in server and network logs by our hosting and content-delivery providers.
The backend applies a short-term, in-memory rate limit to form submissions, which uses the requesting IP address for that purpose and is not written to a database.
We do not operate advertising, marketing-analytics or cross-site tracking tools on this site, and we do not set our own analytics or advertising cookies. The quiz on the coaching packages page runs entirely in your browser for the length of the visit; its answers are not transmitted to us and are not written to browser storage. If you then complete a form, only what is in that form is sent.
How we use information
- To read and respond to your inquiry, and to continue the conversation you started.
- To arrange a discovery call and to schedule purchased sessions.
- To provide the services you have purchased and to send related confirmations and follow-ups.
- To process payments and subscriptions, and to keep business, accounting and tax records.
- To keep the website and our communications secure and functioning, including abuse prevention.
- To meet legal obligations and to establish or defend legal claims where necessary.
Service providers and disclosures
We share information with providers who process it on our behalf so the site and our communications work. Providing information to these processors is not a sale of personal information, and it is not cross-context behavioral advertising. We do not sell personal information and we do not share it for targeted advertising.
- Payments, Stripe: checkout and payment processing. Checkout is hosted by Stripe, so card numbers are entered on Stripe's pages and are not transmitted to or stored by us. We receive and keep the buyer email address, the item purchased, the amount, the payment status, and the Stripe session or transaction reference, along with any participant, recipient or company details you entered. Stripe privacy policy.
- Email delivery: form submissions and purchase emails are passed from our website platform's email service to Resend, the delivery provider, so both process the message content and addresses in order to send the mail and both keep delivery records in line with their own practices. Delivered mail then sits in Michele's mailbox with her email provider, including that provider's backups. Resend privacy policy.
- Scheduling, Calendly: the booking page embeds Calendly, and other pages link to it. When the scheduler loads, Calendly receives request data and may set cookies or use similar technologies, and it collects the booking details you enter. Calendly privacy notice.
- Video, YouTube and Google: episodes are embedded using YouTube's privacy-enhanced domain and only load the player after you press play. Video thumbnails, however, are requested from Google-operated image servers when the page loads, so Google receives request data such as your IP address before you press play. Privacy-enhanced mode limits, but does not eliminate, information collection. Google privacy policy.
- Hosting, delivery and storage: our hosting platform, its content-delivery network, and the database that holds purchase records process and store this information on our behalf. Records are also held in our own business records and backups.
- Professional advisers and legal requirements: we may disclose information to accountants or legal advisers, or where required by law or legal process.
Links to LinkedIn, YouTube and Linktree elsewhere on the site are ordinary outbound links. Following a link takes you to that company's own service, governed by its policies; an outbound link by itself does not give those companies information through this website.
How long information is kept
There is no visitor database behind the forms on this site, but that does not mean nothing is retained. Specifically:
- Inquiries and bookings remain in Michele's mailbox, and in Calendly for bookings, for as long as the conversation and any resulting engagement require, and in email provider backups until those backups age out.
- Purchase records are kept in our payment records and in Stripe for as long as needed to provide the sessions and to meet accounting, tax and legal recordkeeping requirements.
- Technical logs are retained by our hosting and network providers according to their own schedules.
Where a fixed retention period has not been set, we keep information only as long as it is needed for the purposes above, or as long as the law requires.
Your choices and requests
You can ask what information we hold about you, ask for a copy, ask us to correct it, or ask us to delete it, by emailing michele@betterpossibilities.com. We may need to confirm your identity before acting, and we may need to keep certain records, such as transaction records, where the law requires it. Submitting an inquiry does not add you to a marketing list, and we do not bundle marketing consent into the forms.
Your browser can block or delete cookies, which will also affect third-party features such as the Calendly scheduler and the YouTube player. “Do Not Track” and Global Privacy Control are different mechanisms: we do not operate advertising or analytics trackers that either signal would switch off, and we do not currently detect or act on either signal at the server. Where applicable law requires us to honor an opt-out preference signal, we will implement that handling.
California disclosures
For California readers, the categories of personal information handled through this site are described in “Information you provide” and “Information processed automatically”; the categories of recipients are described in “Service providers and disclosures”. We do not sell personal information and we do not share it for cross-context behavioral advertising.
Whether specific California statutory rights apply to Better Possibilities, LLC depends on thresholds and relationships we are assessing with professional advice. Regardless of that assessment, you can make the requests described above and we will respond.
Security
We use reasonable measures to protect information, including encrypted connections to this site, hosted payment pages so card numbers never reach our systems, and limiting access to the people who need it. No website, email system or storage method is completely secure, and we cannot guarantee absolute security. Email in particular is not a secure channel: please do not send sensitive records or credentials by email unless we have agreed a suitable method with you first.
Children
This site and these services are intended for adults in a professional context. We do not knowingly collect personal information from children.
Changes to this policy
We may update this policy as the site or our providers change. When we make a material change, we will update the effective date below and post the revised policy here. Please review it from time to time; we cannot promise advance notice of every change.
